Folder sets
A folder set groups folders you usually grant together, with a default permission level for each.
Assign one set to many users. Every user's permissions stay editable individually afterwards.
When to use one
Use a folder set when you find yourself granting the same combination twice. A set for Suppliers, a set for Finance, a set for Partners.
Do not bother when a user needs exactly one folder. Give access offers Or just one folder for that case, and it is faster.
Creating one
Access, then Folder sets, then Create folder set.
- Give it a Name.
- Add the folders it grants, each one a virtual file system.
- Set a default permission level for each folder.
At least one folder is required.
What a default actually does
The defaults apply at the moment the set is given to a user, and then that user holds their own copy.
So:
- Changing a set's defaults later does not rewrite the permissions of users who already have it.
- Editing one user's permissions does not affect anybody else with the same set.
The user's page says which set their access started from, and makes clear that what you see there is their own copy.
This is a deliberate trade. It means a set is a starting point rather than a policy that keeps applying, and it means editing a set can never silently widen access for fifty people.
Deleting one
The set is removed. This does not touch any storage contents, and users who already have access keep it, because they hold their own copy.
A set assigned to users cannot be deleted until you move them off it. The dialog says how many.
What a folder set does not decide
A folder set decides which folders a user may access and what they may do there.
Where those folders appear in a user's session, the paths they see after signing in, is configured in the Portal, on Users.
